About the Role:

The Portfolio Sales Coordinator plays a critical role in supporting the end-to-end operational delivery of RPM Property Group’s wholesale and development division. This role is responsible for coordinating sales, construction, finance, compliance, and reporting processes to ensure seamless execution through sales to settlement and handover.

Working closely with internal development, sales, marketing, finance, and project teams, as well as external agents, builders, and financiers, the Portfolio Sales Coordinator ensures accuracy, efficiency, risk mitigation, and clear communication across all portfolio activities.

 

Key Responsibilities

  • Manage portfolio administration, including central mailbox coordination, documentation, and stakeholder communication.
  • Prepare and coordinate House & Land packages to distribute with key selling partners and upload to our property portals.
  • Maintain accurate stock lists, CRM systems, and inventory reporting across active projects.
  • Monitor construction progress, workflow timelines, and key milestones through to settlement and handover.
  • Coordinate valuations, finance approvals, and settlement processes while proactively managing risks.
  • Prepare contracts, selling agreements, and ensure all documentation is compliant and up to date.
  • Liaise with agents, builders, finance partners, and internal teams to support sales and project delivery.
  • Assist with invoicing, reporting, and financial administration.
  • Generate regular management reports, track KPIs, and support data-driven decision-making.

 

Key Skills & Competencies

  • Strong understanding of residential development, wholesale property transactions, and H&L packaging desirable but not essential.
  • Exceptional organisational and workflow management skills.
  • High attention to detail with strong risk identification capabilities.
  • CRM and reporting proficiency.
  • Strong stakeholder communication and relationship management skills.
  • Ability to manage multiple projects simultaneously in a fast-paced environment.
